HubSpot MOps & RevOps

HubSpot operations that make the funnel legible.

We design and maintain the HubSpot foundations behind B2B growth — lifecycle stages, routing, scoring, attribution and reporting — so marketing and sales can see what is working and act on it.

Discipline group: Revenue Infrastructure

An interconnected network of spheres on stone platforms, joined by fine lines of light converging on a central node.

Most growth questions eventually become data questions. Which channels create pipeline? Where do good leads stall? How long does it take a lead to become a customer? If the CRM cannot answer them, nobody can.

HubSpot Marketing Operations and Revenue Operations is the discipline of making those answers reliable: clear definitions, clean data, automated handoffs and reporting that both marketing and sales trust.

The premise

You cannot improve what you cannot see.

In many HubSpot portals, lifecycle stages mean different things to different people, lead sources are overwritten, forms create duplicates and dashboards disagree with each other. Teams stop trusting the data, and decisions revert to opinion.

We fix the foundations first: shared definitions, reliable properties and automation that reflects how your business actually sells. Reporting becomes straightforward once the underlying data is sound.

Lifecycle architecture

One definition of every stage.

Every business needs its own definitions, but every stage must have explicit entry criteria, an owner and a rule for what happens next.

Common failure points

Symptoms of an unreliable funnel.

  • 1

Nobody agrees what an MQL is

And so conversion rates, targets and forecasts are all built on shifting ground.

  • 2

    Leads wait for follow-up

Routing gaps mean high-intent requests sit unassigned or reach the wrong person.

  • 3

    Original source is lost

Imports, integrations and manual edits overwrite how contacts actually arrived.

  • 4

    Scoring nobody trusts

Models built years ago, never validated, and quietly ignored by sales.

  • 5

    Workflow sprawl

Hundreds of undocumented automations that nobody dares to switch off.

  • 6

    Dashboards that disagree

Marketing and sales report different numbers for the same funnel.

How we work

Define, build, document, then improve.

  1. 01

    Audit

Portal structure, data quality, workflows, integrations, reporting and how teams actually use the system.

  2. 02

    Define

Agree lifecycle stages, qualification criteria, ownership and service levels with marketing and sales.

  3. 03

    Build

Implement properties, automation, routing, scoring and reporting in a controlled order.

  4. 04

    Document and train

Written definitions and runbooks, and training for the people who use the system daily.

  5. 05

    Iterate

Review data quality and funnel performance regularly, and adjust as the business changes.

Outcomes

What good operations make possible.

  1. Trust

    One version of the funnel

Marketing and sales report the same numbers from the same definitions.

  2. Speed

    Faster follow-up

Qualified requests routed and actioned within agreed service levels.

  3. Insight

    Channel contribution

Pipeline and revenue attributed to sources with transparent methodology.

  4. Leverage

    Better optimization

Ad platforms and nurture programs fed with qualified outcomes, not raw activity.

Questions

HubSpot MOps & RevOps: common questions

What is the difference between marketing operations and revenue operations?

Marketing operations focuses on the systems, data and processes behind marketing: campaigns, forms, lead management and reporting. Revenue operations spans marketing, sales and customer success, aligning definitions, handoffs and reporting across the entire revenue process. In practice, the two overlap heavily inside a CRM like HubSpot.

Can you fix an existing HubSpot portal rather than starting again?

Usually, yes. Most portals can be cleaned up and restructured in place. We recommend a re-implementation only when the existing structure prevents reliable reporting.

Do you work only with HubSpot?

HubSpot is our focus for operations work, because depth in one platform produces better outcomes than shallow knowledge of many. We integrate HubSpot with ad platforms, analytics and other tools in your stack.
